Position Summary

The Supervisor, Patient Services & Eligibility leads the successful and efficient delivery of patient registration and health insurance eligibility services to the communities we serve with access for all for at their assigned clinic site(s), driving operational excellence, high quality patient experiences and the effective leadership and development of staff through clear communication and goal setting, giving and receiving feedback and demonstrating SYHealth's Core Values.

Essential Functions

  • In accordance with approved policies and procedures, leads the Patient Service & Eligibility work at assigned clinic site(s); ensuring accuracy and integrity of the data collected by staff and measurable increases in securing health coverage for uninsured patients of SYHealth.
  • Successfully fosters an environment of accountability, collaboration, and teamwork amongst the patient registration and eligibility teams at assigned clinic site(s), in support of SYHealth's values, goals and strategic directives.
  • Prepares staffing schedules including coordination of planned time off for the Patient Service and Eligibility teams, ensuring appropriate staff coverage at assigned clinic site(s).
  • Routinely monitors staff production, scheduling interactions and overall competency to promote ongoing staff development. Reports the findings and progress regularly to their Manager along with any action plans contemplated to address areas of improvement.
  • Leads the Patient Service team's contributions to minimize Net Loss (canceled, no-show, not booked visits), within assigned clinic site(s)' appointment supply. Ensures staff consistently perform appointment reminders and monitoring of unbooked and canceled appointment slots where backfill can be achieved.
  • Ensures each of their assigned clinic teams achieve SYHealth's annual customer service and patient experience goals.
  • Effectively promotes a culture of Safety for Patients and Staff within assigned clinic site(s). Actively managing efforts to monitor the respective work environments and improve the general Safety of such areas.
  • Successfully champions talent management efforts to improve employee engagement and satisfaction and the continued development of staff through goal setting, the thoughtful exchange of feedback, mentoring, training, coaching and other performance improvement methods.
  • Ensures adherence with FQHC Regulatory guidelines and SYHealth policies, in a matter sufficient to ensure ethical business practices and maintain assigned clinic site(s) in a state of constant audit readiness.
  • Prepares and presents productivity, quality, staffing and other related reports for Patient Service and Eligibility teams to leadership.
  • Creates strong relationships with staff and cross functional leaders within assigned clinic site(s).
  • Acts as a subject matter expert for assigned clinic site(s).
  • Provides back up coverage for Patient Services & Eligibility teams as needed. Additional Duties and Responsibilities
    • Drives personal professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.
    • Co-leads the effective onboarding of new staff and the ongoing performance management of direct reports.
    • Demonstrates effective written and verbal communication, prepares reports and correspondence, and completes assignments in accordance with established deadlines, as needed or directed.
    • Performs other job-related duties as needed, assigned, or requested. Job Requirements

      Education Required (Minimum level of education):

      High School Diploma or equivalent

      Certifications/Licenses Required:

      CA driver's license with appropriate insurance coverage and reliable transportation.

      Experience Required (Minimum level of experience):

      One (1) year working in a leadership capacity in health care administration or related field.

      Verbal and Written Skills Required to Perform the Job:
      Excellent oral, written communication, and interpersonal skills. Strong teamwork and partnership skills, ability to lead others by example and direction. A strong demonstrated commitment to SYHealth's Core Values.

      Bilingual English and Spanish preferred.

      Technical Knowledge and Skills Required to Perform the Job:

      Good organizational and customer service skills. Ability to prioritize and coordinate a variety of complex activities under highly variable conditions and constraints.

      Equipment Used (Computers, phones, vehicles, copy machines and fax machines etc.):

      Microsoft Office suite including, PowerPoint, Microsoft Word, and Excel. EHR systems and basic reporting. General office equipment to include; Personal Computer, Software Systems, Scanner, Telephones, Copy and Fax machines.

      Working Conditions and Physical Requirements:

      Office work and occasional travel required. Prolonged periods of sitting. Travel required to clinic sites. Provide leadership coverage at assigned SYHealth clinics as needed. May be required to work evenings and weekends and attend meetings outside of regular working hours.
